Contract Information:

Hilldrup will provide relocation/household move services. The service is applicable to interstate and intrastate moves.

  • Agents nationwide
  • Guaranteed pickup and delivery or Hilldrup will pay 50% reasonable and supportive lodging expenses, and 50% reasonable and supportive food costs
  • Client inquiries handled within four hours of initial contact
  • Claims settlements within 30 days of receipt of claim documentation or Hilldrup will pay penalty of $50.00 per day.
  • Shipments subject to a fuel surcharge in relation to the current Department of Energy diesel fuel prices.
  • No peak season increases
  • 26% discount below the tariffs
  • 30% storage-in-transit discount (pick-up, delivery and warehouse labor)
  • $75,000 replacement value protection coverage. Additional protection can be obtained at the rate of $0.85 per $100 of valuation. The value of each shipment is calculated at $6.00 per pound.
  • Performance evaluation form is available from Hilldrup for client to submit to Procurement Services.
  • 1% eVA transaction fee will be added to each invoice.

Two Pricing Options:

  • Guaranteed not-to-exceed price (primary price) based on actual services rendered but cannot exceed price quoted; or
  • Estimated price (offered upon request) based on actual services rendered plus actual shipment weight.
  • Guaranteed not-to-exceed pricing does not apply to laboratory moves.

This contract only covers single purchases that do not exceed $50,000.

Note:

Procurement Services recommends University employees relocating to Charlottesville contact all four contract vendors to receive contract pricing. University employees must complete and their department must approve a Moving Expense Reimbursement and Employee Agreement to verify the total amount the University will pay towards the employees relocation.
